Raise a one-off need

Describe a need without a catalogue item and check its saved quantity in the queue.

For operators

Sam Ashworth holds only Operator at Hartwell & Pryce Engineering, Brighouse works. Calder Fixings is already an approved catalogue supplier. Sam needs one inspection bench safety review that is not a catalogue item. This lesson raises the request directly, without a stock product or an order.

Raise a one-off need

  1. Choose Floor

    Choose Floor.

Use Floor for raising a request or confirming non-stock work. These actions do not require an enrolled station. Office contains the queue and order records.

  2. Open People requests

    Open People requests.

Raise a need for goods or work even when no connected product has requested it. A request records what is needed; it does not approve an order.

  3. Choose Calder Fixings

    Choose Calder Fixings.

For work without a catalogue item, start a one-off request with the supplier who can provide it. The supplier is already in the reviewed catalogue.

  4. Describe the work

    Describe the work.

Sam needs an inspection bench safety review. Give a clear description that a supervisor and the supplier can understand.

  5. Name the unit

    Name the unit.

Enter visit as the unit. Quantities on this request are measured in visits, not stock pieces or money.

  6. Use whole visits

    Use whole visits.

Choose zero decimal places because the need is for one whole visit. Check the unit and precision before saving; they define this one-off request.

  7. Request one visit

    Request one visit.

Enter one visit. Raising the request does not create an order, reserve stock or contact the supplier.

  8. Record when the work is needed

Record when the work is needed.

The bench must be checked by 21 October 2026. Record the needed date so the buyer can plan the order.

  9. Explain the need

    Explain the need.

Keep the reason with the request so another person can decide whether and how to order it.

  10. Save the request

    Save the request.

Save the request and check its new queue row. Purchasing records Sam as the requester and keeps the description, unit, quantity, date and reason.

  11. Check the saved remaining need

    Check the saved remaining need.

Open the new request's quantity explanation. Check one visit needed, zero approved fulfilment, zero in drafts and one visit remaining. Preparing a draft, supervisor approval and supplier communication remain separate actions.

Watch or practise this chapter

A saved request states a need, not an approved commitment. Check the unit, remaining quantity and reason before preparing a draft. A supervisor must approve the resulting order, and supplier communication is recorded separately.
