Audience: Supervisor

Sarah Hughes is signed in with only the Supervisor role and a recent security check. The purchasing mailbox is connected and qualified, and the reviewed sending rule emails original Calder orders from it. HP-PO-01001 is approved for two hours of machine calibration and has not been sent.

## Send an approved order from the purchasing mailbox

1. **Open the approved orders**

   Open the approved orders.

Sarah uses her Supervisor role to record a supplier communication. A recent security check is required.

2. **Check the approved calibration order**

   Check the approved calibration order.

Open HP-PO-01001 and check the approved revision. It authorises two hours of machine calibration. Downloading or printing its document does not record a send.

3. **Send from the purchasing mailbox**

   Send from the purchasing mailbox.

The reviewed sending rule emails original Calder orders from the connected purchasing mailbox. Send now shows the exact approved revision and the supplier's ordering address before anything is queued.

4. **Queue the supplier email**

   Queue the supplier email.

Queue the email. Purchasing attaches the approved document frozen at approval and sends it from purchasing@hartwell-pryce.invalid to Calder Fixings' ordering desk.

5. **Check the sending status**

   Check the sending status.

Refresh the status. The mail provider has accepted the message for processing. That is not delivery or the supplier's acceptance, so record their reply when it arrives.

The mail provider's acceptance shows the message left your mailbox. It does not show that the supplier read or accepted the order, so record their reply against the order when it arrives.
