Cancel remaining work and record its notice

Cancel an outstanding commitment with a reason, then record the separately communicated cancellation.

For supervisors

Sarah Hughes holds only Supervisor and has a recent security check. This fresh scenario starts with HP-PO-01001 approved for two hours and nothing confirmed. First record the completed original supplier-portal communication. Then cancel the work and record the subsequent cancellation notice.

Read these instructions on any device. Watch or practise a chapter on a desktop or laptop, with a desktop or mobile application layout. Demonstrations use sample data and simulated scanners.

Cancel remaining work and record its notice

  1. Open the approved orders

    Open the approved orders.

Sarah uses her Supervisor role to record a supplier communication. A recent security check is required.

  2. Check the approved calibration order

    Check the approved calibration order.

Open HP-PO-01001 and check the approved revision. It authorises two hours of machine calibration. Downloading or printing its document does not record a send.

  3. Record a communication already made

    Record a communication already made.

In this scenario Sarah has entered the approved order in Calder Fixings' supplier portal and retained its acknowledgement. Record that completed communication here; this button does not contact the supplier.

  4. Choose the supplier portal

    Choose the supplier portal.

Choose the method actually used to communicate the approved revision.

  5. Keep the destination and reference

    Keep the destination and reference.

Retain the supplier portal and acknowledgement reference so another person can check the communication.

  6. Record the communication time

    Record the communication time.

Enter the local equivalent of 14 October at 10:00 UTC for this lesson. Help displays and types the value in your browser time zone. In your work, record when the communication actually happened.

  7. Keep the communication evidence

    Keep the communication evidence.

Keep a short description of the acknowledgement with the send record. A communication record does not prove supplier acceptance of the order terms.

  8. Save the send record

    Save the send record.

Record the completed communication against revision 1. The approved quantity and order identity stay the same.

  9. Explain why the remaining work is cancelled

Explain why the remaining work is cancelled.

In this separate scenario the calibration visit is no longer required and no hours have been confirmed. Give the reason before cancelling the outstanding work.

  10. Cancel the outstanding two hours

    Cancel the outstanding two hours.

Cancel the remaining order with current Supervisor authority and a recent security check. This creates a cancellation revision and removes the outstanding commitment. It does not tell the supplier.

  11. Record the cancellation communication

    Record the cancellation communication.

The original order was recorded as sent, so a cancellation notice is due. In this scenario Sarah has now communicated revision 2 through the same supplier portal and retained its acknowledgement.

  12. Choose the cancellation method

    Choose the cancellation method.

Choose the method actually used for the cancellation notice.

  13. Keep the cancellation acknowledgement

    Keep the cancellation acknowledgement.

Record the destination and the separate cancellation acknowledgement.

  14. Record when cancellation was communicated

    Record when cancellation was communicated.

Enter the local equivalent of 14 October at 10:00 UTC for this lesson. In your work, record when cancellation was actually communicated in your browser time zone.

  15. Describe the cancellation notice

    Describe the cancellation notice.

Keep the cancellation revision and acknowledgement together. Do not describe the original order document as a cancellation.

  16. Save the cancellation notice

    Save the cancellation notice.

The history records the communication of revision 2. Cancellation preserves the earlier approval and send history, and does not reverse any physical receipt.

Watch or practise this chapter

Cancellation reduces the outstanding commitment while retaining its history. It does not reverse receipts or prove the supplier has seen the notice. Review the remaining need in the queue separately, because cancellation can make an unfulfilled request available for another order.
